Event Registration Policy

SBR.PH EVENT REGISTRATION POLICY

This policy outlines the terms and conditions governing event registration, refund requests, transfer procedures, and athlete responsibilities for all SBR.ph-organized events. By registering, you agree to abide by all rules set forth herein.

Please refer to the official registration schedule posted on each event page for the specific registration period and cut-off dates.


EVENT REFUND POLICY

Refunds may be granted according to the following schedule:

  • 60+ days before the event registration deadline: 50% refund
  • 30–59 days before the event registration deadline: 25% refund
  • Less than 30 days before the registration deadline: No refund

Refund eligibility is based on the proximity to the event registration deadline, not the participant’s registration date.

Refund Conditions:

  • Refund requests must be submitted via email to [email protected] within the prescribed timeline.
  • Processing fees and platform transaction charges are non-refundable.
  • No refunds will be honored under any circumstance once the registration deadline has passed.
  • Submitting a medical certificate does not guarantee a refund. The refund policy above shall prevail.

Unclaimed race kits may be picked up no sooner than three (3) days after the race, subject to availability. Shipping arrangements must be made and paid for by the participant.


SLOT TRANSFER TO ANOTHER PERSON

  • Allowed only during the official registration period
  • Php 500 processing fee applies
  • No slot transfers permitted after the registration deadline
  • Requests must be emailed to [email protected]

Important:

Any athlete caught racing under someone else’s name, or who allows another person to use their race bib, will be banned for a minimum of 3 years from all SBR.ph events. Enforcement is at the sole discretion of the SBR.ph Race Director.


RACE CATEGORY TRANSFER

  • Permitted during the registration period only
  • Php 500 processing fee applies
  • Upgrading to a longer category requires payment of the price difference
  • Downgrading to a shorter category does not entitle the participant to a refund
  • No category transfers after the registration deadline


DEFERRALS

  • Requests must be made at least 30 days before the registration deadline
  • Valid only for the same event in the following year
  • Deferrals are non-transferable and non-refundable
  • Add-ons (merchandise, extras) will not carry over
  • Deferrals are considered final and cannot be reversed, resold, or re-deferred
  • Deferrals are not honored during force majeure situations


FORCE MAJEURE POLICY

In the event the race is cancelled, interrupted, or modified due to circumstances beyond the organizer’s control—including but not limited to:

  • Acts of God (natural disasters, typhoons, flooding)
  • Public health crises
  • Government restrictions
  • Security threats
  • Venue inaccessibility

SBR.ph shall not be held liable for any refund, credit, or race entry carry-over. All fees paid are deemed fully earned and non-refundable. Participants expressly waive any claims, complaints, or requests for compensation.


NON-PARTICIPATION / NO-SHOW

  • Athletes who do not attend the race for any reason forfeit their entry
  • Race kits may still be claimed after the event (3-day minimum) but no refunds will be issued
  • DNS (Did Not Start) participants are not entitled to refunds, deferrals, or transfers


LATE CLAIM / UNCLAIMED KITS

  • Kits not claimed within 30 days of the race date are considered forfeited
  • SBR.ph is not obligated to store, ship, or re-produce unclaimed race materials


EVENT FORMAT / VENUE CHANGES

SBR.ph reserves the right to:

  • Modify distances, race format, or transition flow based on safety, logistics, or weather
  • Change venue if required for safety, permits, or public restrictions

No refund or credit shall be granted due to changes in race format or venue location.


CUTOFFS, DISQUALIFICATIONS, AND RULE ENFORCEMENT

  • Athletes who fail to meet published cutoffs may be pulled from the course at the Race Director’s discretion
  • No helmet = no race for all duathlon and triathlon events. No exceptions. No refunds.
  • Fixie bikes are allowed only with both front and rear brakes.
  • E-bikes are not allowed in any category unless explicitly approved in advance
  • Race marshals have the authority to issue penalties, warnings, or disqualifications at any time


MEDICAL EMERGENCIES

Participants must ensure they are medically cleared to participate. By joining, athletes release the organizers from any liability related to pre-existing conditions, race injuries, or physical risks inherent to the sport.


ATHLETE RESPONSIBILITY

  • Athletes must read all event instructions and attend the race briefing (if applicable)
  • Participants must ensure they bring required gear (helmet, ID, waiver, etc.)
  • It is the athlete’s responsibility to double-check registration, kit completeness, and event instructions prior to race day


DISPUTES & FINAL AUTHORITY

All matters regarding disputes, disqualifications, timing, placement, or rule interpretation shall be decided by the Race Director. All decisions are final and non-negotiable.


FREQUENTLY ASKED QUESTIONS (FAQ)

I got sick or injured close to the race. Can I get a refund?

Refunds are based strictly on the refund policy timeline outlined above and are not tied to individual circumstances. After the refund window closes, no refunds will be granted regardless of medical reason. You may still claim your race kit after the race, subject to availability.

Can I transfer my slot to a friend or family member?

Only during the open registration period, with a processing fee. Once registration closes, transfers are strictly prohibited. Unauthorized bib use will result in a multi-year ban.

What happens if bad weather cancels the event?

If the event is cancelled due to force majeure (weather, public safety, government restrictions), no refund or race credit will be issued. This policy ensures fairness and sustainability for all.

I can’t join anymore. Can I claim my race kit?

Yes. Race kits may be claimed starting 3 days after race day, with proof of registration. Shirts and medals are subject to availability. Shipping costs must be covered by the participant if claiming remotely.

Why can’t I get a full refund?

Your registration fee goes directly toward race production costs that begin months before the event — including race kits, medals, venue fees, permits, and logistics. These are committed in advance and are non-recoverable.

Can I defer to next year’s race?

Only if the request is made at least 30 days before the registration deadline. Deferrals are not transferable, refundable, or applicable to other events.

I forgot my helmet. Can I still race?

No. We strictly enforce a No Helmet / No Race policy for all bike-based races. This is non-negotiable and there are no refunds for non-compliance.
